We collect information you provide directly to us, such as when you create an account, subscribe to our service, or contact us for support. This includes name, email address, company information, and payment details. For company-type accounts (HR, Insurance Company, Other Vendor), we may request your organization's Employer Identification Number (EIN) to verify your company identity and match your organization to publicly available benefits data, including Form 5500 filings published by the U.S. Department of Labor. We also collect usage data about how you interact with our platform.
2. How We Use Your Information
We use the information we collect to provide, maintain, and improve our services, process transactions, send technical notices and support messages, respond to your comments and questions, and send marketing communications (with your consent). Your EIN, when provided, is used exclusively for: (a) verifying your company identity on the Benetelligence platform; (b) matching your organization to publicly available benefits data such as Form 5500 filings; and (c) generating your unique Benetelligence Account Number (BEN-XXXXXX), which is used in all external communications, invoices, and reports in place of your EIN.
3. Employer Identification Number (EIN) — Purpose and Protection
Your EIN is a business tax identifier assigned by the IRS. Benetelligence requests your EIN solely to verify your company identity and to match your organization to publicly available government benefits data. Your EIN is stored in our database using AES-256-GCM encryption — the same standard used by financial institutions and government agencies. It is never displayed in the platform interface, never included in reports or invoices, and never shared with other users or third parties. All external references to your account use your Benetelligence Account Number (BEN-XXXXXX) instead. You may contact [email protected] at any time to request deletion of your EIN from our systems.
4. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. All data is encrypted in transit (TLS) and sensitive identifiers such as EINs are encrypted at rest using AES-256-GCM. Access to encrypted data is restricted to authorized server-side processes only.
5. Data Sharing
We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties except as described in this policy. We may share data with trusted service providers who assist us in operating our platform, subject to confidentiality agreements. Your EIN is never shared with any third party.
6. Anonymous Ratings
When you submit an anonymous rating or community post, your identity is stored securely and is accessible only to Benetelligence administrators for trust and safety purposes. Your identity is never disclosed to other users or third parties.
7. Your Rights
